Privacy Policy
How portal records and document-processing data are handled.
Last updated: 21 October 2026
Who is responsible
CEBS WORLDWIDE operates the ID Secure website and account portal. This policy describes the portal records we handle and the distinction between portal administration and document processing. For a customer deployment, the signed agreement identifies the relevant organizations and their responsibilities as controller or processor.
Information used by the portal
We handle the account and organization information you provide, your service preferences, product access, usage records, commercial requests and support correspondence. We also keep records needed to protect and operate your account.
Why we use this information
We use portal records to provide and secure accounts, verify mailbox access, send requested security emails, administer evaluations, respond to commercial or support requests and maintain service reliability. Depending on the activity and applicable law, processing is necessary for requested services or contractual steps, legitimate interests in secure operation, or legal obligations. Consent is used where required for an optional purpose. We do not sell personal information for advertising.
Documents and extracted data
Document images and extracted information from the hosted Document Lab are not submitted to this portal. Limited usage information helps manage the service. For a fully customer-managed on-premise service, CEBS does not store, retain or access your document data. Cloud and Hybrid data handling follows your agreed service terms.
Service providers and access
Authorized personnel and service providers access account records only as needed to provide, protect and support the service. Your service agreement defines additional providers, approved locations, international transfers and applicable safeguards.
Retention and deletion
Account and commercial records are retained while needed to provide services, meet obligations and address security or disputes. Temporary access records are removed when no longer needed. Cookie choices expire after six months. Deletion requests are reviewed alongside applicable retention and recovery obligations.
Your privacy rights
Where applicable, you may request access, correction, erasure, restriction or portability, or object to processing based on legitimate interests. You may withdraw consent for optional cookie purposes through Cookie Settings without affecting earlier lawful processing. We verify requests before changing or disclosing records. You may complain to the UK Information Commissioner's Office or the relevant EU or other local data protection authority. Your precise rights depend on the law that applies to you.
Keeping information secure
We use account verification, sign-in safeguards and restricted administrative access to help protect your information. Keep your mailbox, devices and account permissions secure. Contact Support if you suspect unauthorized access.
Changes to this policy
We publish changes on this page. A new optional cookie purpose requires a fresh cookie choice before activation. Contracted customer deployments remain governed by their applicable data-processing and commercial agreements.
Contact and related policies
Contact CEBS WORLDWIDE through the corporate contact form. If you have an account, you can also use workspace Support. Do not send identity documents, passwords, sign-in codes or reset links in an ordinary support message.
